For managers, this information may include approval of time sent by subordinates, hidividuals in other administrative or oversight roles may have additional information required by the system, such as number of copies made for a particular project, number and length of telephone calls, or number and length of faxes sent.
  • the present invention provides a mechanism to make the gathering and entry of that information easy.
  • the system generates an e-mail message that is addressed to an individual from whom information is required.
  • the e-mail contains two parts: a message part, which informs the individual which information is required, and a hyperlink, which, when activated, brings the user directly to a data entry screen that contains spaces for the entry of the required information.
  • the individual is a timekeeper who must keep track of the total amount of time spent on several projects, broken down by task.
  • Some entity possibly the human resources department of the company, sets a deadline for entry of the time information. If the deadline passes and the timekeeper has failed to enter in the required time information, the timekeeping system will generate an e-mail message addressed to the timekeeper. Included in this message is text, which reminds the timekeeper of the just-missed deadline, and a hyperlink.
  • the timekeeper receives the e-mail, he clicks on this hyperlink and his browser opens up a web page generated specifically for the timekeeper. This page is designed to gather the required information specific for that individual timekeeper.
  • the timekeeper may be selected and text boxes in which to enter the time information and descriptions of tasks.
  • the system has all the information it requires from that timekeeper and can, assuming no other information is outstanding, generate the appropriate accounting reports.
  • the individual is a manager who must approve subordinates' time in order for those subordinates to be paid properly.
  • the timekeeping system will generate an e-mail message to the manager. Included in this message are text that reminds the manager of the necessity to approve the subordinate's time, and a hyperlink.
  • This page is designed to gather the required approvals. It contains a list of the subordinates whose time must be approved, and allows the manager to readily view the time information submitted by the subordinates. Once he reviews the time, he is able to enter his approval or disapproval of the subordinates' time. With this information entered into the system, the system can proceed with authorization of payment to those subordinates whose time was approved.

Abstract

L'invention se rapporte à un procédé permettant d'accélérer l'entrée d'informations dans un système à feuilles de présence. Ledit système à feuilles de présence est conçu pour générer un courrier électronique ou une autre forme de communication électronique et pour l'envoyer à la personne dont il est nécessaire d'obtenir des informations. Dans ledit élément de communication est contenu un hyperlien qui, lorsqu'il est activé, affiche directement au destinataire d'un message un écran contenant la demande relative aux informations dont le système a besoin. L'utilisateur peut tout simplement cliquer sur l'hyperlien et entrer les informations nécessaires. Ce procédé se rapporte au domaine des logiciels de comptabilité de la paie.
