Abstract
The invention discloses an email management method, which comprises the following steps: receiving a new e-mail, and determining summary information of the new e-mail, wherein the summary information at least comprises a text summary and a complete mail link; and displaying the summary information of the new E-mail to a user. The invention also discloses an email management system, and the method and the system improve the processing efficiency of the user when the user processes the email, especially the email with a large quantity.
Description
Technical Field
The present invention relates to email management technologies, and in particular, to an email management method and system.
Background
With the development of computer networks, e-mail has become one of the most widely used communication tools, and plays an increasingly important role in the work and life of people. Especially in work, email is almost an indispensable communication tool.
People use the e-mail to communicate, which is completed through an e-mail client. Currently email clients manage emails mostly in the form of email lists. The email client performs different sorting methods on the emails, such as sorting according to priority, subject, sender, time, email size and the like, so as to achieve the purpose of facilitating the user to read and browse the emails. As shown in fig. 1, a method for providing email reference to a user by an email client in the prior art is provided, that is: providing a list of received e-mails for a user, wherein a title, a sender and time information are displayed on each e-mail; and clicking the e-mail which is desired to be viewed by the user, and opening the complete e-mail.
However, when the number of emails in the email client is large, it is still difficult for the user to find the email that needs to be preferentially processed most from the many emails listed in the email list. Taking work as an example, many enterprise users often have a large number of emails to be processed after a weekend or a vacation is spent; even in daily work, many enterprise users need to spend hours reading and processing various types of e-mails every day. These emails include a part of important work emails, and also include many general notification emails, advertisement emails, spam emails, and the like. Therefore, an efficient email management method is needed to help a user quickly and efficiently determine the processing priority of each email, so as to improve the efficiency of processing emails for the user.
Based on this, some improved methods for managing e-mails in the prior art have been proposed, for example, e-mails with the same subject are collected, that is, e-mails and replies thereof are collected, which is convenient for users to process e-mails to a certain extent and improves e-mail processing efficiency. wherein, the N1, the N2 and the N3 are integers which are more than 0.
The summary information is displayed to the user in the form of a summary email.
The displaying the summary information of the new e-mail to the user specifically comprises:
judging whether an abstract mail which is unread by a user exists, if so, directly adding the abstract information into the abstract mail, and continuously displaying the abstract mail in an unread manner; otherwise, generating an abstract mail according to the abstract information, and displaying the abstract mail to a user.
The displaying the summary information of the new e-mail to the user specifically comprises:
generating summary information items according to the summary information;
and assembling the generated summary information items into a summary mail and displaying the summary mail to the user.
The method further comprises the following steps: and when the summary information of the new e-mails is displayed to the user, sequencing the summary information of the new e-mails.
The sorting specifically comprises:
sorting the summary information according to the sending time or priority or the subject or the size of the sender or the E-mail contained in the summary information; or,
and performing multiple sorting of the summary information according to the priority, the subject and the sender of the e-mails contained in the summary information.

Detailed Description
The basic idea of the invention is: and determining that the new e-mail at least comprises the text abstract and the abstract information of the complete e-mail link, displaying the abstract information to the user, and adding more information for determining the processing priority of the new e-mail for the user, thereby improving the efficiency of the user for processing the e-mail.

In practical applications, the method for extracting the text abstract can be set by a user, or preset by a system to which the management method of the present invention is applied. The specific number of words extracted can also be set autonomously in practical applications, and is not limited here. However, it should be noted that: the number of words of the text abstract cannot be too much, so that the aim of brief prompt cannot be achieved; but not too little to prompt the user for textual content.
The complete email link points to an address for accessing the complete new email, which may be a local access address after the new email is stored, or may be an access address of the new email in the server. The summary information of the e-mail is only a highly simplified version of the complete e-mail and does not include all contents of the e-mail, and when a user determines that the complete e-mail needs to be read according to summary information such as a text summary of a new e-mail, the complete e-mail can be conveniently read through the complete e-mail link.
Step 204: and displaying the extracted summary information of the new E-mail to the user, and ending the current processing flow.
In embodiment 1 and embodiment 2, a method for displaying the extracted summary information of the new e-mail to the user is respectively provided. The method for displaying the abstract email to the user in the steps 303 and 304 can be implemented by using the display method of the unread email in the prior art; or, a special summary mail display area can be set to facilitate the user to view the summary mail.
In addition, when the summary mail is generated or the summary information is directly added to the summary mail in step 303 and step 304, sorting may be performed according to the subject, priority, and the like included in the summary information of each email, and a specific sorting method may be completed by using a related technology in the prior art, which is not described herein again.
In the embodiment of the present invention shown in fig. 3, the storage manner of the summary information of each email is not limited, for example, the summary information item of the email may be generated as shown in embodiment 2; alternatively, the summary information of one email may be stored separately, or different summary information of the email, such as subject, priority, etc., may be stored in a classified manner, as long as the summary information of the required email can be acquired when the steps such as step 303 and step 304, etc., which require the summary information of the email, are executed.
Example 2
Fig. 4 is a flowchart illustrating an email management method according to embodiment 2 of the present invention. In the method, abstract information is extracted, abstract information items are generated and sequenced, and the abstract information items are assembled into an abstract mail to be displayed to a user.
As shown in fig. 4, the method includes:
step 401: receiving a new e-mail, determining whether to extract the summary information of the e-mail, if so, executing step 403, otherwise, executing step 402.
Step 402: and putting the new e-mail into an e-mail list, displaying the new e-mail to a user, and finishing the current processing flow.
Step 403: extracting the first 50 words of each paragraph of the E-mail text in the new E-mail as text abstract, extracting the priority, subject, sender and attachment list information of the new E-mail, determining the complete mail link of the new E-mail, and using the information as the abstract information of the new E-mail.
Step 404: and generating a summary information item corresponding to the new electronic mail according to the summary information of the new electronic mail.
The generated summary information item is not limited in format and type, and the summary information item may be a block of memory area for storing summary information, or a single file, or a block of data in a file, or a record in a database.
Step 405: and sequencing the summary information items of the new E-mail and the summary information items of other new E-mails.
The sorting may be performed by using a related e-mail sorting method in the prior art, for example, sorting according to priority or subject or sender. Alternatively, multiple ordering methods may be used.
The multiple ordering specifically comprises: selecting the information of priority, subject, sender and the like of the e-mail as the sorting fields, determining the priority of sorting each sorting field, and then sorting the e-mail in sequence according to the sorting fields and the priority thereof. For example, the emails are sorted in order according to priority, subject, and sender, i.e.: firstly, after the summary information items are sorted according to the priority of the corresponding electronic mail, the summary information items with the same priority are sorted according to the subject of the electronic mail, then the summary information items without the same subject are sorted according to the senders, then the summary information items without the same sender are sorted according to other fields, if more fields are arranged, and so on.
Through the multiple sorting, the electronic mails with the same priority level are combined together, the electronic mails with the same subject are combined together, the electronic mails of the same sender are combined together, and the quantity of the electronic mails to be processed is reduced formally by sorting and sorting the electronic mails, for example: for a certain subject, there are 20 replies, and it is general to look at a reply e-mail to know the relevant contents of all e-mails on that subject, so as to facilitate the decision to continue to process other 19 replies or to process other e-mails preferentially. In addition, the e-mail content is classified, and meanwhile, the work corresponding to the e-mail content is associated, so that batch processing of the user is facilitated, and the processing efficiency of the user on the e-mail is improved.

When the summary information items are assembled into the summary mail, one summary mail may be assembled for each summary information item, but it is preferable to set a threshold value for the assembled summary information items, and when the number of summary information items of the new e-mail reaches the threshold value, the assembly of the threshold value summary information items is performed.
The method of displaying the summary mail to the user in this step is not limited here. When summary information is displayed by using summary mails in the above embodiments 1 and 2, the summary information of each email in the summary mails may be displayed individually, for example, using separators between summary information of emails, even if the summary information of emails uses a special font, and some fields of the summary information of emails use different display colors. extracting the first N1 characters of the E-mail text; or,
extracting the last N2 characters of the E-mail text; or,
extracting the first N3 characters of each paragraph of the E-mail text;
wherein, the N1, the N2 and the N3 are integers which are more than 0.
4. The management method according to any one of claims 1 to 3, wherein the summary information is displayed to the user in the form of a summary mail.
5. The method according to claim 4, wherein said displaying said summary information of the new e-mail to the user is specifically:
judging whether an abstract mail which is unread by a user exists, if so, directly adding the abstract information into the abstract mail, and continuously displaying the abstract mail in an unread manner; otherwise, generating an abstract mail according to the abstract information, and displaying the abstract mail to a user.
6. The management method according to claim 4, wherein said displaying the summary information of the new e-mail to the user is specifically:
generating summary information items according to the summary information;
and assembling the generated summary information items into a summary mail and displaying the summary mail to the user.
7. A method for managing as claimed in claim 2 or 3, characterized in that the method further comprises: and when the summary information of the new e-mails is displayed to the user, sequencing the summary information of the new e-mails.

sorting the summary information according to the sending time or priority or the subject or the size of the sender or the E-mail contained in the summary information; or,

9. An email management system, comprising: a data receiving unit, a summary extracting unit, and an information display unit, wherein,
a data receiving unit for receiving a new e-mail;
the abstract extracting unit is used for determining the abstract information of the new electronic mail received by the data receiving unit, and the abstract information at least comprises the text abstract and the complete mail link of the new electronic mail;
and the information display unit is used for displaying the summary information determined by the summary extraction unit to a user.

the information assembling unit is used for adding the summary information determined by the summary extracting unit into the existing unread summary mails or generating new summary mails according to the summary information;
and the mail display unit is used for displaying the summary mail generated by the information assembly unit to a user.
11. The system of claim 9, wherein the information display unit comprises: a summary information item generating unit, a sorting unit, an information item assembling unit, and a mail display unit, wherein,
the summary information item generating unit is used for generating a summary information item corresponding to the new electronic mail according to the summary information determined by the summary extracting unit;
the sorting unit is used for sorting the summary information items generated by the summary information item generating unit;
the information item assembling unit is used for assembling the summary information items sequenced by the sequencing unit into a summary mail;
and the mail display unit is used for displaying the summary mail assembled by the information item assembling unit to a user.
