How to send custom notifications for new LinkedIn leads

A significant portion of that budget often goes towards digital advertising on platforms like LinkedIn, which can be a great place to generate leads. But advertising isn't just about finding new leads. You also need to nurture and follow up with those prospects, or you won't convert them into paying customers.

That's where automation can be a huge help. Rather than tracking your LinkedIn leads manually, you can get instant notifications for every new lead—so you can respond faster. Here's how.

How to get your leads from LinkedIn Lead Gen Forms

It's pretty straightforward to manually retrieve leads from LinkedIn. In your Campaign Manager dashboard, navigate to the Lead generation forms tab, which is nested in the left-hand toolbar under Assets. Then just click the Download leads button in the top-right corner—and voila! Your leads will download.

This method is great if you only need to look at your leads once in a while. But realistically, you need to see new leads fairly frequently. 

Thankfully, there's a better, faster way to get your new Linkedin leads frequently: automation. With Zapier, you can create an automated workflow—we call them Zaps—that instantly notifies you about new leads. And if you also need to move those leads into another tool, you can add a step to your Zap that does that, too. 

How to get instant notifications about new leads

Before you start creating a Zap to get notifications for new leads, you need to decide where you want those notifications to go. Generally speaking, you have three options: You can get notifications via chat app (like Slack), email, or SMS. Everyone is different, so pick the option that's most convenient for you!

Once you choose how you want to get lead notifications, you can create an automated workflow in Zapier. There are two ways to set up your Zap: 

  • With a Zap template. For this article, we'll walk through how to set up a few different Zap templates. Just click the template to get started—then connect your LinkedIn Lead Gen Form.

  • From scratch in your Zapier account. Prefer to do it all yourself? Click the Create Zap button in Zapier to make a new Zap, then choose LinkedIn Ads as the trigger app.

Setting up team chat notifications

Let's say you want to get notifications for new leads in a chat app like Slack. Maybe you want these notifications delivered to a team channel, so you can triage leads together or directly in your DMs—whatever the case, it's easy to create a Zap that notifies you exactly where you want.

To set up this workflow using a Zap template, click on the one below—it'll automatically open the Zap editor. If you don't already have a Zapier account, you'll need to create one.

This template needs a little customization to send notifications that work for your needs. First, you'll need to connect your LinkedIn Ads account.

Once your account is connected, you'll need to choose the organization you're collecting leads as and the type of lead you want notifications about.

You'll have the option to test your trigger step next. I highly recommend doing this if it's your first time setting up a Zap—it's good to make sure everything is working properly!

Then it's time to set up your action step. This is where you'll define where you want these Slack notifications to show up. Once again, you'll start by connecting your Slack account.

Then you can define what you want each notification to look like and what information each one should include. With a little field mapping, you can ensure that every lead notification shows you relevant information, like the lead ID and the time it was submitted. Just click the + button in any field to add data from your previous LinkedIn Ads step.

When you're happy with the content and format of every lead notification, click Continue to test your Zap.

If everything works as expected, click Publish.

If you use a different chat app, you can still set up custom LinkedIn Ads notifications. Just use one of these Zap templates instead:

Setting up email notifications

If you're a little more traditional—or just don't want constant Slack notifications interrupting your day—you might want to get your LinkedIn leads delivered to your email inbox. Thankfully, there's also a Zap template for that:

Just like the chat app template, you'll need to connect your LinkedIn Ads account first. You'll also need to choose the ad account and lead gen form you want notifications about.

After you configure the trigger step with that information—and test it to make sure it works correctly—it's time to set up the action step. 

Note: This template automatically uses Email by Zapier to send you notifications about new leads. On a free Zapier plan, you can send up to 5 emails per day using Email by Zapier; with a paid plan, the limit increases to 10 emails per hour. If you need to receive more notifications, you can use an email service like Gmail or Microsoft Outlook instead of Email by Zapier. 

Just like chat notification, you get to define what each email notification looks like. Through a combination of plain text, HTML, and field mapping, you can make sure these notifications have the right lead information—and are in a digestible format.

You can also define the Cc and Bcc fields, if you want more than one recipient to receive the notification, as well as the From field.

After you've formatted your notifications, click Continue. Make sure to test your Zap before clicking Publish. If everything works correctly, you'll see a new email in your inbox!

Setting up SMS notifications

Like the other templates we walked through, you'll need to start by connecting your LinkedIn Ads account. Once you've configured the trigger step (and it's working properly), you'll need to connect SMS by Zapier. This step involves confirming a PIN Zapier sends you as a text message, but it takes only a couple of moments to set up.

Next, you'll need to define the content of each notification text. Similar to the email notification Zap we just walked through, you can use a combination of plain text and field mapping to make sure each notification includes the most pertinent information about the lead.

When you're happy with the notification content, click Continue to move on to the testing step. If the test runs successfully, click Publish.
